Mapping a meeting in real time
The sixty-second preparation, handling the mess, and leaving with decisions and actions.
The specific difficulty
A meeting is non-linear and unpredictable. Topics get mixed up, people double back, someone launches into a tangent. It is exactly the situation where linear note-taking fails and where the map excels, provided you prepare it.
Preparation: sixty seconds before the meeting
Draw the empty skeleton.
Centre: the purpose of the meeting. Pre-drawn branches, with no content yet: DECISIONS, ACTIONS, INFO, QUESTIONS, RISKS, plus one branch per agenda item if you have the agenda.
You walk in with a structure ready. Every contribution files itself into an existing branch instead of forcing you to invent an organisation live.
During: the five reflexes
- One word, never a sentence. You are not transcribing, you are filing.
