Universal capture

A single inbox, the capture rules, and how to empty your head completely.

The golden rule: one single inbox

Most people's problem is not that they write nothing down. It is that they write things down everywhere: loose papers, messages to themselves, phone notes, a notebook, a whiteboard, memory.

Seven places is zero places, because none of them is reliable.

Choose one single place. A pocket notebook, or a notes app, or both with a daily transfer from one to the other. Not three.

The four rules of capture

  1. Everything, unfiltered. If it crosses your mind and it will require an action or a decision, it goes in the inbox. Do not judge importance at capture time: that is clarification work.
  2. In under five seconds. If capturing means opening an app, choosing a project and setting a deadline, you will not do it. Capture has to be faster than forgetting.
  3. One item per line. No paragraphs.
  4. Emptied daily. The inbox is emptied every day or every other day. An inbox that is never emptied stops being reliable, and an unreliable system stops being used.

The big initial brain dump

Done once, forty-five to ninety minutes. It is the founding operation of the system.

Work through these triggers systematically and write down everything that surfaces.

Work. Projects running, projects to launch, commitments made, people waiting on you, people you are waiting on, files hanging, training, relationships to maintain, processes to improve, hiring, budgets, reporting.

Personal. Health, admin, finances, housing, vehicle, family, friends, holidays, hobbies, personal projects, things to learn, objects to repair or replace.

Diffuse. What irritates you, what you have been putting off for more than three months, what you think about on a Sunday evening, what you do not dare start.

Empty until nothing comes for two straight minutes.

What you are going to feel

Two things, in this order.

First anxiety: seeing seventy items written down is brutal. That is normal, and it passes.

Then, once the clarification is done, clear relief. It is not a placebo effect: you have just unloaded a saturated working memory. Most people sleep better the following night.

The capture points to install

A pocket notebook on you at all times, A6, it fits in a pocket. A pad beside the bed, because night-time ideas are common and always get lost. A single pinned note on your phone for capture on the move. An address you email yourself for whatever arrives on screen. A pad in the car, or voice capture, depending on your travel.

They all converge on the single inbox at the daily emptying.

The classic mistake

Capturing and never processing. An inbox of two hundred unclarified items is exactly as useless as a list of two hundred lines.

Capture is only worth anything paired with clarification.

Exercises2

Understanding produces no change. These exercises are what makes the difference: each one has a measurable success criterion.

The founding brain dump

Get everything your head was holding out of it, once and for all.

Equipment : Plenty of paper, a quiet place, an hour ahead of you.

  1. 1.Work through the three trigger categories: work, personal, diffuse.
  2. 2.Write everything down, one line per item, without sorting or judging.
  3. 3.Keep going until nothing comes for two full minutes.
  4. 4.Count the lines and note the figure.
  5. 5.Do not file anything today: clarification is the next exercise.

Success looks like : Nothing comes for two minutes, and you have between forty and ninety lines.

The classic mistake : Stopping after twenty minutes thinking you have got it all out. The heaviest items surface in the last half hour.

Installing the capture points

Make capture faster than forgetting, wherever you are.

  1. 1.Choose your single inbox: a notebook, or an app, not both without a transfer.
  2. 2.Set up a pocket notebook, a bedside pad, a pinned note on your phone.
  3. 3.Time how long it takes you to capture an idea from each point.
  4. 4.If a point takes more than five seconds, simplify it or remove it.
  5. 5.Empty every point into the single inbox each evening for a week.

Success looks like : Capture in under five seconds from any point, and the inbox emptied seven evenings out of seven.

The classic mistake : Multiplying capture points and never emptying them. Seven unemptied places is zero reliable places.
